Volunteer Coordinator – Part-Time

Reporting to the Executive Director, the Volunteer Coordinator will develop and implement an organization-wide volunteer program that is consistent with the mission, goals, philosophy and operations of Rescue Ranch. This role is responsible for all aspects of the volunteer program: assessing organization needs and volunteer service capability; integrating volunteer services according to identified needs; developing a volunteer recognition program; cultivating volunteers into active donors; and creating a pipeline for senior leadership to assess those volunteers with potential as future board members or principal donors. • Consistently and appropriately represent the mission, goals and philosophy of Rescue Ranch.

• Work with the Executive Director to develop the annual budget for the volunteer department; ensure adherence to current fiscal year budget and long-term strategic plan

• Oversee design and production for all printed materials relating to the volunteer program: invitations, programs, brochures, posters, etc.

• Provide leadership in developing and implementing efficient, effective and sustainable policies, standards, programs and strategic direction for the volunteer program; ensure that policies and procedures work in concert with employee rules.

• Assign volunteers to program areas within Rescue Ranch departments/divisions

• In collaboration with department/division managers, develop orientation and training for volunteers relevant to the respective department/division needs.

• Work with department/division managers to establish volunteer schedules

• Develop and implement volunteer recognition programs to acknowledge volunteer contributions to the mission, goals and operation of Rescue Ranch

• Assist in the recruitment and organization of event volunteer committees.

• Monitor and encourage the development of department training and supervision; encourage appropriate task assignment and performance recognition to ensure volunteer satisfaction and increased participation

• Interview & evaluate prospective volunteers to identify skills, interests, knowledge, education & experience.

• Encourage all staff to participate in the recruitment of volunteers.

• Promote teamwork and positive interaction between staff and volunteers; motivate and mentor staff and volunteers; establish a positive work environment that supports and provides feedback and which attracts, keeps and motivates a diverse staff of top quality volunteers

• Provide answers and guidance to volunteers for any issues that arise.

• Document and evaluate volunteer service hours; track hours of service and number of volunteers.

• Maintain and update volunteer newsletter on a monthly basis.

• Maintain an active bank of volunteers to assist with organizational programs.

• Develop an evaluation program that encourages feedback from staff and volunteers regarding the effectiveness, or lack thereof, of the volunteer program; solicit thoughts, concerns and suggestions

• Act as liaison with staff to solve volunteer grievances

• Track progress of volunteer program via shared system to ensure that staff is informed of needs and progress to goals.

• Ensure that the Executive Director is briefed on all aspects of progress, needs, issues, and successes of the volunteer program; provide analysis for efficiencies and improvements.

• Must be able to work frequent Saturdays and special events as required.


• Participate in management staff meetings and planning.

• Provide ongoing staff support and assist with special projects as assigned.

• Ensure a safe work environment; implement and ensure adherence to safety guidelines and safe work practices.

• Maintain a clean, healthy and sanitary work area; participate in keeping the Rescue Ranch grounds and facilities clean and well maintained.

• Performs other duties as assigned and reasonably within the scope of duties enumerated above.

• Minimum two years of college, Bachelor’s degree preferred.

• Minimum 2 years experience working with and managing volunteers is preferred.

• Ability to persuasively present and interpret the mission, goals and programs of Rescue Ranch to prospective donors and volunteers. This includes both individual and group presentations.

• Must be organized, motivated, reliable, able to multi-task and work well with a minimum of supervision

• Must be able to handle all situations calmly and efficiently

• Ability to recruit, manage and motivate volunteers

• Excellent problem solving, team/project management, presentation and negotiation skills.

• Results-oriented, creative, collaborative work style.

• Experience developing and implementing management policies in a positive and fair manner; excellent oral and written communication skills and professionalism are necessary for this position.

• Strong interpersonal skills to handle sensitive and confidential situations.

• Ability to set measurable goals, and work independently to plan and carry out projects.

• Proven attention to detail with advanced organizational and time management skills; ability to prioritize multiple programs and meet strict deadlines

• Must have technology skills-word processing, spreadsheets, database; electronic presentation, social media; internet navigation, etc.


Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.


Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
